Privacy Policy for Conference Registration
1. Data Controller
Japan Advanced Institute of Science and Technology (JAIST) is the primary entity responsible for the management of your personal data.
2. Information We Collect
We limit our data collection to the specific information required to manage your participation, submissions, and attendance:
- Contact and Professional Details: When you register or submit a manuscript via Microsoft CMT3, we access and collect your first name, last name, email address, and organization affiliation. If an organizing chair manually adds you as a co-author to a submission, we input your first name, last name, organization, and email address into our system.
- Payment Verification Data: We do not collect or process your credit card details. Instead, we collect your 17-character PayPal Transaction ID via a separate submission form. We also receive automated email receipts from PayPal that include your transaction ID, the date of payment, the amount paid, and the email address used during checkout.
- Travel and Visa Documentation: If we are directly purchasing your international flights or providing official visa support, we collect your full legal name, passport details (including passport number, issuing country, date of birth, gender, and expiration date), departure city, preferred travel dates, and dietary preferences.
3. Purposes of Use
We strictly use the personal information we collect for the following event administration purposes:
- Administrative Communications: We use your name, email, and affiliation stored in CMT3 to issue formal administrative documents, such as visa invitation letters confirming your registration status.
- Payment Confirmation: We use the 17-character PayPal Transaction ID you provide to cross-check and verify your registration payment against our internal PayPal merchant records.
- Travel Logistics: We use your passport and travel details exclusively to process travel reimbursements, ensure compliance with Japanese academic audit requirements, and purchase international flight tickets.
- Proceedings and Publishing: We export your author metadata (including finalized titles, author order, affiliations, and abstracts) from our CMT3 database to compile the final conference proceedings.
4. Data Sharing and Third-Party Platforms
To operate the conference, we require you to interact with third-party platforms. Our relationship with your data on these platforms is strictly defined:
- Vietnamese Co-organizer: Your data will be shared with our co-organizer, Vietnam National University. Because the co-organizing institution is located in Vietnam, this constitutes a provision of personal data to a third party located in a foreign country. The data sharing arrangement strictly restricts the purposes of use to the administration of the conference and explicitly prohibits general onward disclosure to third parties.
- Microsoft CMT3: We require you to use CMT3 for manuscript submissions and peer reviews. While we do not control Microsoft’s global data collection (such as phone numbers required for account creation), we strictly limit our access to your CMT3 submission data to our conference administrators and assigned reviewers. We will not use your CMT3 profile data to send marketing materials for future conferences or share your contact information with third-party sponsors without separate consent.
- IEEE Publication Systems: If your paper is accepted, we export your metadata from our system and submit it to the IEEE Conference Publication Program. This metadata is used by IEEE to generate your binding Electronic Copyright Form (eCF) and to index your published paper in the IEEE Xplore Digital Library.
- Financial Processing: Registration fees will be handled by PayPal and operated via Old Teachers Network (OTN) – KSE 2026 technical support. PayPal handles the financial documentation and automatically generates your official receipts.
5. Data Retention
Your personal data will be retained based on predetermined criteria for the retention period. After the event and the completion of necessary administrative tasks, your data will be subject to deletion or return.
6. Your Rights and Contact Information
We provide a dedicated contact point to handle your rights regarding your data, including inquiries, correction requests, and deletion requests. Additionally, for data stored within the CMT3 system, users retain the right to manage, export, or delete their personal data at any time via the centralized Microsoft Privacy Dashboard.
カンファレンス登録に関するプライバシーポリシー
1. データ管理者
北陸先端科学技術大学院大学（JAIST）は、お客様の個人情報の管理について責任を負う主要な主体です。
2. 収集する情報
当カンファレンスでは、参加、投稿、および出席を管理するために必要な特定の情報のみを収集します。
- 連絡先および専門職に関する詳細: Microsoft CMT3を通じて登録または論文を投稿する際、お客様の氏名、メールアドレス、および所属機関を収集します。組織委員が投稿に共著者として手動で追加する場合、氏名、組織名、およびメールアドレスをシステムに入力します。
- 支払い確認データ: クレジットカード情報の収集や処理は行いません。その代わりに、別の投稿フォームを通じて17桁のPayPal取引IDを収集します。また、取引ID、支払い日、支払い金額、決済に使用されたメールアドレスを含む、PayPalからの自動メール領収書を受領します。
- 旅行およびビザ関連書類: 国際線の航空券を直接購入する場合や公的なビザサポートを提供する場合は、氏名、パスポート詳細（パスポート番号、発行国、生年月日、性別、有効期限）、出発都市、希望渡航日程、および食事に関する要望を収集します。
3. 利用目的
収集した個人情報は、以下のイベント管理目的のみに使用します。
- 事務連絡: CMT3に保存された氏名、メールアドレス、所属を利用して、登録状況を確認するビザ招待状などの正式な行政書類を発行します。
- 支払い確認: 提供された17桁のPayPal取引IDを使用して、当JAISTのPayPal加盟店記録と照合し、登録支払いを検証します。
- 旅行手配: パスポートおよび旅行詳細は、旅行費用の精算、日本の学術監査要件の遵守、および国際航空券の購入のためにのみ使用します。
- プロシーディングスおよび出版: 最終的なカンファレンス論文集を作成するため、CMT3データベースから著者メタデータ（確定したタイトル、著者順、所属、要旨を含む）をエクスポートします。
4. データ共有およびサードパーティプラットフォーム
カンファレンスを運営するため、サードパーティのプラットフォームを利用する必要があります。これらのプラットフォームにおけるデータとの関係は以下のように厳格に定義されています。
- ベトナムの共同主催者: お客様のデータは、共同主催者であるベトナム国家大学と共有されます。共同主催機関がベトナムに所在しているため、これは外国にある第三者への個人データの提供に該当します。データ共有の取り決めは、目的をカンファレンスの管理に厳格に制限しており、第三者への一般的な開示を明示的に禁止しています。
- Microsoft CMT3: 論文投稿および査読のためにCMT3の利用をお願いしています。Microsoftによるグローバルなデータ収集（アカウント作成に必要な電話番号など）を私たちが管理することはありませんが、CMT3の投稿データへのアクセスは、カンファレンスの管理者および割り当てられた査読者に厳格に限定しています。将来のカンファレンスのマーケティング資料を送付したり、個別の同意なしにサードパーティのスポンサーと連絡先を共有したりするために、CMT3のプロフィールデータを使用することはありません。
- IEEE出版システム: 論文が採択された場合、当システムのメタデータをIEEE Conference Publication Programに提出します。このメタデータは、IEEEが拘束力のある電子著作権フォーム（eCF）を作成し、出版された論文をIEEE Xploreデジタルライブラリにインデックスするために使用されます。
- 支払い処理: 登録料の支払いはPayPalにより処理され、Old Teachers Network（OTN）- KSE 2026テクニカルサポートを通じて運用されます。PayPalが財務書類を扱い、正式な領収書を自動的に生成します。
5. データの保存
お客様の個人情報は、所定の保存期間の基準に基づいて保存されます。イベント終了後および必要な事務作業の完了後、データは削除または返却の対象となります。
6. お客様の権利および連絡先
データに関するお客様の権利（問い合わせ、訂正請求、削除請求など）を取り扱う専用の連絡窓口を設けています。また、CMT3システム内に保存されたデータについては、Microsoftのプライバシーダッシュボードを通じて、いつでも自身の個人データを管理、エクスポート、または削除する権利を保持しています。
